This Refund and Cancellation Policy governs subscription payments made to EazyApp Tech Pvt. Ltd. for access to and use of the RentOk platform.
By subscribing to RentOk, you agree to this Policy.
1. About RentOk
RentOk is a property management solution platform that enables property owners, property managers, and persons engaged in the rental business to manage tenants, collect rent digitally, maintain ledgers, and streamline operational workflows.
RentOk acts solely as a technology service provider. It provides software tools and payment facilitation features to enable users to manage their rental operations digitally. RentOk does not own, lease, sub-lease, manage, or control any property listed, managed, or operated by its users. RentOk does not sell any physical goods. RentOk does not store card credentials. Payments are processed through secure payment gateway infrastructure.
2. Scope of this Policy
This Policy applies only to subscription fees paid to RentOk for access to the platform and to limited cases where refund may be considered in accordance with this Policy.
This Policy does not apply to rent, security deposit, maintenance charges, utility payments, vendor payments, merchant payments, or any other amounts collected, paid, received, or transferred between a RentOk user and such user’s tenants, occupants, merchants, vendors, service providers, or any other third party.
3. Transactions Between RentOk Users and Their Tenants or Merchants
Any payment made through the platform between a RentOk user and any tenant, occupant, merchant, vendor, service provider, or other third party is a private transaction strictly between the persons making or receiving such payment.
RentOk is not a party to such transaction. RentOk does not determine the amount payable, the basis of the charge, the contractual or commercial understanding between the parties, the terms of tenancy or occupancy, or the nature or quality of any goods or services involved.
Accordingly, any dispute relating to rent, deposit, maintenance, utilities, vendor charges, merchant charges, refunds, reversals, adjustments, service issues, tenancy issues, occupancy issues, or any other private arrangement shall be resolved exclusively between the concerned parties making or receiving the payment. RentOk shall have no responsibility or refund liability in respect of such transactions.
4. Subscription Plans and Subscription Fee
Access to RentOk is provided on a subscription basis. The subscription fee paid to RentOk is the consideration for access to the platform and its technology services.
A subscription may be purchased for one month or for multiple months, including but not limited to 6-month or 12-month plans, as may be offered by RentOk from time to time.
For the purposes of this Policy, one month shall mean a period of 30 days from the date of payment.
5. Cancellation of Subscription
A customer may request cancellation of the RentOk subscription by contacting RentOk through the official contact channels made available on the website or application.
Any cancellation request must include the reason for cancellation so that RentOk may review the request and improve its services.
Cancellation of a subscription shall not by itself entitle the customer to a refund, except to the limited extent expressly provided under this Policy.
6. Refund of Subscription Fee
Refunds are not automatic and shall be processed only in accordance with this Policy, subject to verification and approval by RentOk.
6.1 Cancellation Request Within 7 Days
If a customer submits a cancellation request within 7 days from the date of payment, together with the reason for cancellation, the refund shall be dealt with in the following manner:
a. the subscription fee for the first month shall not be refunded under any circumstances;
b. where the customer has paid the subscription fee only for one month, no refund shall be payable;
c. where the customer has paid subscription fees in advance for more than one month, including for 6 months or 12 months, refund may be made only in respect of the remaining months after deducting the subscription fee attributable to the first month;
d. for the purposes of such refund, the first month shall mean the initial period of 30 days from the date of payment, and the fee attributable to that first 30-day period shall be non-refundable.
6.2 Duplicate Payment
Where the same customer has made a duplicate payment for the same subscription invoice or billing cycle, RentOk may, upon verification, refund the excess amount.
6.3 Technical Error Resulting in Multiple Debits
Where a technical error has resulted in unintended multiple debits for the same subscription payment, RentOk may, upon verification, refund the excess amount.
7. Non-Refundable Cases
No refund shall be payable in the following circumstances:
a. where the cancellation request is made after 7 days from the date of payment;
b. where the customer has subscribed only for one month, even if the cancellation request is made within 7 days from the date of payment;
c. where the claim relates to rent, deposit, maintenance, utility charges, vendor payments, merchant payments, or any other transaction between a RentOk user and any tenant, occupant, merchant, vendor, service provider, or third party;
d. where the grievance arises out of a private dispute between the parties making or receiving payment through the platform;
e. where the issue arises from bank-side failure, network issues, incorrect payment details, or third-party systems, except where a duplicate payment or unintended multiple debit for the same subscription payment is established upon verification.
8. Payment Authorisation
Payments made through the platform are initiated by the person making the payment through a secure payment flow or payment link shared through registered communication channels.
Such payments are processed through a secure payment gateway. A transaction is completed only after the applicable authentication process, including OTP or any other authentication mechanism required by the relevant bank, card issuer, payment service provider, or payment network.
Successful completion of the authentication process shall be treated as confirmation that the payment was authorised by the person making the payment.
RentOk shall not be liable in any circumstances for any claim that a payment made or received between a RentOk user and any tenant, occupant, merchant, vendor, service provider, or third party ought not to have been made or received, was wrongly demanded, or should later be refunded, since such matters arise solely out of the private arrangement between those parties.
9. Approval and Mode of Refund
All refund requests shall be reviewed by RentOk and processed only if found eligible under this Policy.
If approved, the refund shall ordinarily be issued to the original source of payment, subject to the rules, timelines, and technical processes of the relevant bank, card issuer, UPI application, payment gateway, or payment service provider.
RentOk shall not be responsible for any delay occurring after the refund has been processed from its end. It is clarified that this is only for the refund of the subscription fee paid to RentOk for using its services.
11. Chargebacks and Disputes
If any customer initiates a chargeback or payment dispute in relation to a subscription payment, RentOk reserves the right to submit transaction records, payment logs, subscription details, system records, and related material before the relevant bank, payment gateway, card network, or payment service provider. Role of RentOk shall be limited to the extent of providing such details to the investigating authority or department. It is understood that RentOk plays no role and undertakes no responsibility in transactions between its User and the tenants/ or any other third party.
12. Changes to this Policy
RentOk reserves the right to amend, modify, or update this Refund and Cancellation Policy at any time.
