How to fill it
What to write on each line
One line per deduction
Name each deduction plainly: “Pending electricity bill”, not “Charges”. A tenant can accept a list; a lump sum starts a dispute.
Keep proof
Keep the meter reading, a photo of any damage and the bill for the repair for each deduction you list.
Refund date
Give a date and stick to it. Most disputes come from refunds that are late, not from the amount.
If dues are more than the deposit
The letter switches to “amount still due” and asks the tenant to pay the balance.
